DataRoad migrates approximately 50 mailboxes to Microsoft 365 Exchange Online for the Union of Parishes of Massamá and Monte Abraão
DataRoad was selected through a public tender by the Union of Parishes of Massamá and Monte Abraão to migrate approximately 50 mailboxes to Microsoft 365 Exchange Online.
The project involved the complete migration of content (email, structure, and associated data) to the Microsoft cloud and the reconfiguration of workstations and mobile devices, ensuring business continuity and a smooth transition for users.

Migration to Exchange Online: Greater Mobility, Centralized Management, and Business Continuity
Microsoft Exchange Online is a hosted messaging solution that provides email, calendar, contacts, and tasks accessible from a PC, a web browser, and mobile devices, thereby supporting hybrid work models and mobility.
When organizations migrate to Exchange Online, they begin to benefit from a managed service hosted in Microsoft data centers, with comprehensive access and centralized management capabilities.
In addition, Exchange Online plans include protection features such as anti-spam and anti-malware, mobile device policies, and service continuity features (e.g., redundancy and SLAs), making the platform particularly well-suited for organizations that prioritize availability and security.
What was implemented by DataRoad (scope of the project)
DataRoad's project consisted of two key components:
1) Complete migration of mailbox content
- Transferring mailbox content to Microsoft 365 Exchange Online (including history and organization)
- Planning the migration path appropriate for the number of mailboxes and the customer’s environment, following best practices and recommended tools for migrations to Microsoft 365/Exchange Online
2) Reconfiguring users, PCs, and mobile devices
- Workstation reconfiguration (Outlook and profiles) and post-migration validation
- Configuration and validation on mobile devices, ensuring connectivity and synchronization (email/calendar/contacts)
This design minimizes downtime and prevents productivity losses, especially in environments with multiple users and administrative teams.
Why this migration is important for local governments and public agencies
In public agencies, email is often the most critical channel for:
- institutional communication,
- response to the resident,
- interaction with suppliers,
- administrative procedures and digital archives.

- retention and preservation policies (e.g., Litigation Hold / eDiscovery)

- built-in anti-spam and anti-malware protection to reduce the risk of email-based threats
